Virtual Medical Assistant
An AI voice receptionist for small medical and dental clinics.
Built by Project Line. Distributed on the Microsoft Store.
What VMA does
VMA replaces a traditional clinic receptionist with two AI assistants working side by side:
- Phone assistant. Answers patient calls 24/7 on a dedicated number. Books, reschedules and cancels appointments. Handles waitlist call-backs. Routes emergencies to the doctor's personal phone. Discloses itself as AI on every call (California SB 1001 / EU AI Act compliant).
- In-app assistant. Sits next to the doctor on Windows desktop, web and mobile. Listens to voice commands: opens patient charts, dictates visit notes, issues prescriptions as PDF, sends invoices, looks up history. Sees the screen and can guide the doctor visually.
- Document-to-record transcription. When the doctor uploads a patient document (lab report, prescription, referral letter), the AI transcribes the text and values verbatim straight into the patient's chart — saving manual data entry. This is a data-transfer step, not a clinical interpretation: nothing is diagnosed, assessed or flagged. Always check the transcribed text against the original document.
Supports seven user interface languages out of the box: English, Russian, Hebrew, German, French, Italian, Spanish. Patients can speak any of these — the phone assistant detects and switches automatically.
Who we are
Project Line is the developer of VMA. We are an Israel-based software company building practical AI tools for solo and small-practice clinics — dentistry, family medicine, mental health, aesthetic, chiropractic, and similar specialties. Our goal is a single subscription that fully replaces the receptionist seat, the appointment book, the prescription pad and the SMS-blast tool, with a privacy-first architecture suitable for medical data.
Track record. Project Line has been a verified Microsoft Store publisher for almost two years, with three consumer applications already shipped and maintained through Microsoft Partner Center. VMA is the company's fourth product and its first business / B2B SaaS offering — leveraging the same publishing pipeline, code-signing identity, automated certification process and customer-support workflow that the existing apps have proven in production.

WhatsApp integration
VMA uses the official WhatsApp Business Cloud API from Meta to send patients appointment reminders and doctor messages. We send only through pre-approved Meta message templates (vma_appointment_reminder, vma_doctor_message) and only to phone numbers entered by the clinic with the patient's consent.
Each clinic that wants its own branded WhatsApp number connects via Meta's Embedded Signup — the clinic logs in to Facebook, attaches its existing phone number, and we deploy the approved message templates onto the clinic's own WhatsApp Business Account. The clinic remains the controller of its data and can revoke our access at any time from its Meta Business Manager.
Clinics that do not want their own number can use Project Line's shared sender at no additional cost; we route their reminders through our verified Israeli WhatsApp number.
Data handling at a glance
- Each clinic's data lives in an isolated row-set with token-scoped access on Microsoft Azure SQL (Israel Central region). No cross-clinic access.
- Patient health information is never shared with any third party except trusted infrastructure providers (Microsoft Azure for hosting, OpenAI for voice synthesis, Twilio for telephony, Meta for WhatsApp delivery) — each under their own DPA / BAA.
- The clinic can export the complete database at any time as Excel / ZIP and can request permanent deletion of all data.
- The AI voice agent does not record calls — neither audio nor a transcript is stored; only call metadata (number, time, duration) is kept.
